Providence Christian College will provide all students with appropriate pastoral care in accordance with our Christian calling.
This matrix of Pastoral Oversight is designed to ensure that no student requiring Pastoral support escapes our attention.
Principal: Overall oversight and accountability of Pastoral Care rests with the Principal of the College.
Heads-of-School: Responsibility for Pastoral Care is delegated by the Principal to the two Heads of School.
College Psychologist/Counsellor: The College Councillor/Psychologist may be involved in counselling and supporting students from both schools, working alongside all levels of pastoral intervention.
College Chaplain: The College Chaplain may be involved in counselling and supporting students from both schools, working alongside all levels of pastoral intervention.
Middle School Year Coordinators: The Middle School Year Coordinators provide oversight over a number of areas in their respective Year Groups, reporting to the Head of Secondary School and Deputy Principal including Pastoral Care. Form Teachers and Teachers usually report to Year Coordinators in the first instance.
Primary Student Development Coordinator: Provides oversight over a number of areas in the Primary School including Pastoral Care, usually reporting to the Head of Primary in the first instance. Teachers report to the Student Development Coordinator when required.
Form Teachers: In the Secondary School Form Teachers assume pastoral oversight for their respective classes.
Class Teachers: In the Primary School Class Teachers assume pastoral oversight for their respective classes.
Teachers: All Teachers are responsible for pastoral oversight of the students with whom they interact both formally in classes and informally during non-teaching times.
Parents/Guardians should be informed of Pastoral Care issues as soon as possible in order to ensure healthy collaboration between the College and the family as necessary.
Documenting of Pastoral Care Issues:
All Pastoral Care Issues should be documented on SEQTA. Discretion should be used when sharing such documentation. Privacy legislation, occupation-specific legislation and the College Confidentiality Policy should be adhered to at all times. Information should always be shared with the smallest number of people necessary.
Students-of-Concern reports are raised, discussed and minuted at Secondary Staff Meetings and an appropriate plan-of-action is developed to support the student.
Pastoral Care Meetings are held on a weekly basis. The meeting is Chaired by the Deputy Principal and attended by the Head-of-School, College Councillor/Psychologist and College Chaplain. Agendas and minutes of these meetings are kept.
Class teachers discuss students-of-concern with the Head of Primary and/or Coordinator of Student Development and an appropriate plan-of-action is developed to support the student.
Pastoral Care Meetings are held on a weekly basis. The meeting is chaired by the Head-of-Primary School and attended by the College Councillor/Psychologist and College Chaplain and Student Development Coordinator. Agendas and minutes of these meetings are kept.
The Principal meets weekly with each Head-of-School. During this meeting, the Principal is kept abreast of Pastoral Care issues in the respective schools.
External Agencies: When appropriate, students/families may be referred to external agencies who provide ongoing professional services.
Confidentiality: Privacy legislation, occupation-specific legislation and the College Confidentiality Policy should be adhered to at all times.
